Job Summary
The Administrative Support and Coordination Consultant is responsible for coordinating administrative support services, ensuring efficient day-to-day operations, monitoring service requests, and supporting the delivery of high-quality administrative functions across the organization. The role involves preparing operational reports, monitoring Key Performance Indicators (KPIs), coordinating with internal departments and external service providers, and ensuring compliance with organizational procedures and service standards.
Key Responsibilities
- Coordinate daily administrative support activities to ensure efficient service delivery.
- Monitor and track service requests, ensuring timely resolution and adherence to agreed service levels.
- Prepare daily, weekly, and monthly operational reports and management dashboards.
- Monitor departmental KPIs and recommend improvements to enhance operational performance.
- Coordinate with internal departments, contractors, and stakeholders to facilitate smooth administrative operations.
- Maintain accurate administrative records, documentation, and filing systems.
- Assist in planning, scheduling, and coordinating meetings, events, and operational activities.
- Support the implementation and continuous improvement of administrative processes and procedures.
- Monitor resource utilization and provide recommendations to improve efficiency.
- Ensure compliance with organizational policies, procedures, and quality standards.
- Assist management in preparing presentations, reports, and business correspondence.
- Identify operational issues and escalate them with appropriate recommendations.
- Supervise administrative support staff and ensure effective task allocation and performance monitoring.
- Support audits, inspections, and compliance activities related to administrative operations.
- Perform other duties assigned by management related to administrative coordination and support services.
Educational Qualification
- Bachelor's Degree in Business Administration, Public Administration, Logistics, or a related discipline.
Experience Requirements
- Minimum 7 years of professional experience in administrative support, coordination, logistics, or corporate services.
- Minimum 3 years of experience in a supervisory or team leadership role.
- Proven experience in coordinating administrative operations and support services.
- Experience in KPI monitoring, reporting, and performance tracking is essential.
